Childcare Fee payment Policy
In order to ensure that high-quality services are provided, Tiny Hearts Daycare center relies on timely payment of fees.
Payment Methods:
- Upon accepting an offer of enrollment, new families are required to make their first payment for the current month via Interac e-Transfer.
- Please send the payment to billing@tinyheartsdaycarecenter.ca. This account is set up for auto-deposits, so no security questions or answers are necessary.
- A Pre-Authorized Payment (PAP) Plan will be set up for all future payments to ensure timely and convenient billing using the Bright Wheel app.
- Once your child is enrolled, the supervisor will provide you with access to set up your account and manage payments.
Payment Timeline:
Once your child is offered a space at Tiny Hearts Daycare Center and you accept it, you will need to provide a one-month deposit for your child’s age group and the completed enrollment package within 48 hours.
- Tuition is non-refundable once paid.
- Families are responsible for paying tuition for every day the child is enrolled, even if the child is absent (e.g., for family vacations or illness), on holidays, or if the center is closed due to weather. There will be no refunds, discounts, or credits for absences, partial attendance, or early withdrawals.
- There is no fee to be added to our waitlist.
Payment is due in advance. Parents are required to complete a form for pre-authorized direct withdrawal through the Bright Wheel app upon registration. Payments are collected on the 1st of each month. We do not accept cheques or e-transfers for monthly registrations.
An income tax receipt will be provided in the following fiscal year. Parents will be given a minimum of one month’s written notice of any fee increases.
Additional Fees:
If a child is picked up after 6:00 p.m., a late fee of $1 per minute will be charged. Afterhours pick-up is restricted to emergencies only. Early drop-offs before 6:30 a.m. are not available.
Non-sufficient fund -NSF Fees:
There is a $45 charge for any cheques returned due to insufficient funds (NSF).
Outstanding fees policy:
Outstanding tuition, including any additional fees, insufficient funds charges, or late payment fees, must be paid within 5 business days via e-transfer to billing@tinyheartsdaycarecenter.ca. If payment is not received, the student will not be allowed to attend Tiny Hearts Daycare Center until the balance is settled. If payment is still not made by the end of the month, the student will be withdrawn from the program.
Receipts:
For income tax purposes, a receipt for fees paid will be issued at the end of February for the previous year
Withdrawal / Discharge policy
If you wish to withdraw your child from Tiny Hearts Daycare, a one-month written notice is required. The payment for that final month must still be made, even if your child does not attend during that period. There will be no reimbursement for this final month once notice is given.
If you have paid for multiple months in advance (e.g., 2 or 3 months), one month’s fee will be retained, and the remaining months will be refunded.
If you’re considering a temporary break, please note that we can’t guarantee your child’s spot unless regular payments continue. If you choose not to pay during the break, we’ll add your child’s name to the waitlist, and you’ll need to re-register when you’re ready to come back.
Any Fee changes will be announced with a four-week notice period by the center.
Discipline /Guidance and Dismissal Policy
At Tiny Hearts Daycare Center, we address behavior with a range of strategies designed to support positive development. We start by creating an environment that encourages good interactions among children. When needed, we allow children to experience natural consequences of their actions and apply logical consequences that are directly related to their behavior. Positive choices are reinforced, and we regularly remind children of the rules and potential outcomes. If a child needs to shift focus, we use redirection to engage them in other activities and provide renewal time for them to calm down and refocus.
Parents and guardians are expected to manage their child’s behavior when on-site and will be notified of any significant behavioral issues. For persistent problems, staff will collaborate with parents to develop an action plan, which may involve early pick-up or seeking professional support. Ongoing issues may lead to dismissal from the center. We are committed to working together with parents and specialists to meet the individual needs of each child.
Drop-Off and Pick-Up Procedures
Drop-Off Guidelines
Driving and Parking Instructions:
Drive cautiously and slowly in the parking lot.
Park only in designated spaces.
Do not leave your vehicle idling.
Buzzer Access:
A buzzer system is in place to enter the center.
Press the buzzer at the entrance, and someone will open the door for you
Parents/guardians may enter the center during center hours (6:30a.m. to 6:00 p.m., Monday through Friday, and 8:00 a.m. to 5:00 p.m. on weekends); otherwise, the security alarm will sound.
Child Drop-Off Procedure
Assist your child at their cubby, if needed
- Room Drop-Off: Parents are required to bring their child directly to their assigned room at Tiny Hearts.
- Staff Check-In: Please make sure a staff member is present in the room and is aware that your child has arrived.
- Sign-In: Our staff will officially check your child in upon arrival.
Pick-Up Guidelines
- Pick-Up Time: Children can be picked up at any time before 6:00 p.m. by a parent, guardian, or an authorized individual.
- Authorization: If someone other than the usual caregiver is picking up your child, please inform the staff ahead of time with the person’s name and contact information.
- ID Verification: The authorized person must provide identification. If prior arrangements haven't been communicated, staff will verify by contacting you before releasing your child.
- Check-Out: Ensure staff are aware when your child is leaving for the day.
Late Pick-Up Policy
- Operating Hours: Tiny Hearts Daycare Center is open from 6:30 a.m. to 6:00 p.m., Monday through Friday, and from 8:00 a.m. to 5:00 p.m. on weekends.
- Plan Accordingly: Please allow enough time to pick up your child, touch base with the staff, and gather belongings before closing time.
- Notify Us: If you anticipate being late, please notify the center as soon as possible. It’s a good idea to have a backup pick-up plan in place in case of delays.
- Emergency Contacts: If we haven’t heard from you by 6:30 p.m., we will try to reach one of your emergency contacts. If we cannot reach anyone, we will contact the appropriate Child Protection Agency by 7:00pm.
- Addressing Repeated Lateness: If late pick-ups become frequent, the site supervisor will meet with you to discuss your needs and explore alternative care options. Continued lateness may result in the need to find a different childcare arrangement, and we may issue a notice of withdrawal if the issue remains unresolved.
Statutory Holidays
Tiny Hearts Daycare Center is closed on the following statutory and designated holidays observed in Ontario: New Year’s Day, Family Day, Good Friday, Easter Monday, Victoria Day, Canada Day, Civic Holiday (Simcoe Day), Labour Day, Thanksgiving Day, Remembrance Day, Christmas Day, and Boxing Day.
When a holiday falls on a weekend, the daycare may observe the closure on the following weekday. Please note that fees are required for all statutory holidays.
CWELCC & Financial Assistance
Canada-Wide Early Learning and Child Care (CWELCC) Program
We are delighted to share that Tiny Hearts Daycare Center is an enrolled participant in the Canada-Wide Early Learning and Child Care (CWELCC) System.
As a CWELCC-enrolled child care provider, eligible children under the age of 6 receive the Government of Ontario fee reduction, reducing child care fees to a maximum of $22 per day. This fee reduction is automatically applied to all eligible families attending our centre. No application is required to receive the CWELCC fee reduction.
Our goal is to provide high-quality, affordable early learning while supporting families through this important government initiative.
Financial Assistance for Child Care Costs
City of Ottawa Child Care Fee Subsidy Program
In addition to the CWELCC fee reduction, eligible families may qualify for the City of Ottawa Child Care Fee Subsidy Program.
The Child Care Fee Subsidy is a separate program that helps low-to-moderate income families with the cost of licensed child care. Depending on your family’s financial situation and eligibility, the subsidy may reduce or fully cover your child care fees.
Please note that the City of Ottawa Child Care Fee Subsidy is different from the CWELCC Program:
- CWELCC automatically reduces child care fees to a maximum of $22 per day for eligible children under 6 years of age attending participating centres.
- The City of Ottawa Child Care Fee Subsidy provides additional financial assistance for eligible families who require further support with child care costs.
Families interested in applying for the Child Care Fee Subsidy can review the eligibility requirements and complete the online eligibility calculator through the City of Ottawa.

Weekend Child Care Now Available!
We are pleased to offer Weekend Child Care at Tiny Hearts Daycare Center to help support the needs of busy families.
Our weekend program is available:
- Saturdays & Sundays, 8:00 a.m. – 5:00 p.m.
- Daily fee: $22 per day
Whether you need care for work, appointments, or personal commitments, our caring and qualified educators provide a safe, fun, and engaging environment for your child.

Personal Belonging and labeling
At Tiny Hearts Daycare Center, each child has a cubby for storing their outdoor clothing, shoes, and extra outfits. Please ensure your child has a full change of clothes in their cubby to handle any washroom or spill accidents.
To avoid confusion and prevent lost items, make sure all clothing and belongings are clearly labeled. We ask that you do not leave valuables in your child's cubby, as Tiny Hearts Daycare Center cannot be held responsible for lost or missing items. Items that are not labelled will be placed in the “Lost and Found”.
For children in diapers, a small storage space will be available in the room’s washroom for diapers, wipes, creams, and other necessities. Please make sure your child has enough supplied each day. Staff will do their best to inform you if more supplies are needed.
